Here we explain what data is processed when you visit the VS Furniture website and contact us.

1. Data controller and contact

2. Contact and requests for quotes
When you email or call us, we process the contact details you provide, the content of your correspondence and attachments, such as a project description, measurements or interior photos. Providing data is voluntary, but we cannot reply without contact details. Please share only the information needed to handle your enquiry.
We use the data to prepare a quote and take steps at your request before entering into a contract (Article 6(1)(b) GDPR). We handle other correspondence, including contact with company representatives, on the basis of our legitimate interest in responding to enquiries and maintaining business relationships (Article 6(1)(f) GDPR).
If an enquiry leads to an order, we process the data needed to fulfil it on the basis of the contract (Article 6(1)(b) GDPR), legal documentation obligations (Article 6(1)(c) GDPR), and our legitimate interest in establishing, pursuing or defending legal claims (Article 6(1)(f) GDPR).
We retain correspondence while dealing with the matter. If it leads to a contract or dispute, necessary data may be kept for the duration of the contract, the legally required document retention period and until the applicable limitation period for claims expires. Other data is deleted once the matter is closed and further contact is no longer needed.
3. Website technical data
The hosting provider may record your IP address, request time, visited page address, and browser and operating system details in server logs. These are used to serve the website, diagnose errors and prevent misuse, which is our legitimate interest (Article 6(1)(f) GDPR).
Logs are kept within the hosting service’s retention period for as long as needed to diagnose errors and maintain security. Data relating to an identified incident may be retained until it is resolved and any related claims are concluded. You can contact us for information about retention of your data.
4. Providers and data transfers
We use Hostinger to host the website and handle correspondence sent to kontakt@vsfurniture.eu. Data may be accessible to authorised people handling enquiries, infrastructure and IT support providers, and authorities entitled to access it by law.
Providers’ infrastructure may include countries outside the European Economic Area, including the USA. Hostinger describes safeguards for such transfers, including standard contractual clauses, in its data processing terms. 5. Your rights
Under the conditions set out in the GDPR, you may request access to your data and a copy of it, rectification, erasure or restriction of processing. The right to data portability applies in the cases provided for by the GDPR.
You may object to processing based on legitimate interests on grounds relating to your particular situation. Where processing is based on consent, you may withdraw it without affecting the lawfulness of earlier processing. You also have the right to lodge a complaint with the President of the Polish Personal Data Protection Office.
